    Rogers is one of the country's leading electrical, lighting, plumbing, and HVAC service providers, for retail, commercial, food service, and public sector properties across the U.S.  We provide management, labor, materials, and equipment for the installation and maintenance of electrical, lighting, plumbing, and HVAC systems, and do it effectively across multi-site or single unit properties.

     

    We are looking for a Project Assistant to join our team.  The Service Assistant is responsible for administrative support of a region.  They are responsible for assisting with the acquisition of materials, equipment, and scheduling of subcontractor work.  They are responsible for issuing material and equipment purchase orders, reviewing the material and equipment orders to ensure prices are in line with national pricing, and arranging for pick up and/or delivery.  They are also responsible for purchase orders to subcontractors.  They are responsible to reconcile purchase orders with invoices and ensure that all costs hit the appropriate month and/or job.

    Responsibilities

     

    Primary Responsibilities:

    • Reviews invoices and quoted projects
    • Audit billing data for accuracy in order to generate invoices for customers
    • Facilitate swift payment of invoices by gathering needed information and paperwork
    • Solve billing discrepancies
    • Dealing with incoming emails and other communication, occasionally corresponding on behalf of the Service Manager
    • Screens calls, makes travel and meeting arrangements, prepares reports, and provides general customer service to internal departments and external customers
    • Checks deadlines on all incoming requests and takes initiative on appropriate priorities
    • Prepares meeting agendas, arranges meeting facilities, takes meeting minutes, and drafts action items
    • Assures discreet handling of all confidential business items
    • Other responsibilities as assigned

    Qualifications

     

    Experience, Skill, and Educational Requirements:

    • Associates degree preferred
    • 3+ years experience in a high-volume electrical, lighting, plumbing, and/or HVAC service industry
    • Some project management/coordination experience
    • Some Accounts Payable experience
    • Ability to communicate both verbally and thorough writing in a professional, courteous and knowledgeable manner
    • Ability to multitask using several screens and browsers and the same time, while talking on the phone and navigating through internal work order system and external customer portals
    • Ability to prioritize tasks according to deadlines and urgency and complete them in a timely and professional manner
    • Ability to create, edit, and analyze Excel spreadsheets, Word documents, PDF files and Power Point presentations
    • Demonstrated analytical ability necessary to handle complex administrative tasks, such as preparing reports by combining data from several sources, scheduling and planning work of others, and anticipating administrative needs of Service Manager
    • Ability to adapt to changes in the work environment, manages competing demands, and is able to deal with frequent change, delays, or unexpected events
