    We are looking for a highly motivated individual with multiple skill sets and the ability to manage several tasks at once. This individual will be required to plan and prioritize work with sometimes minimal guidance. This position is responsible for the administrative organization of the Construction department and of all phases of the projects including, preparing and administering contracts, bids, construction accounting and job cost, data entry and filing.



    Primary Responsibilities

    • Screens calls, makes travel and meeting arrangements, prepares reports, and provides general customer service to internal departments and external customers
    • Trains and supervises other administrative support staff
    • Composes correspondence and reports as required
    • Checks deadlines on all incoming requests and takes initiative on appropriate priorities
    • Maintains manager’s calendar and ascertains which meetings require manager presence
    • Prepares meeting agendas, arranges meeting facilities, takes meeting minutes, and drafts action items
    • Assures discreet handling of all confidential business items
    • Arranges amenities for visitors, as needed
    • Coordinates manager’s travel with internal and external agents; prepares travel itinerary and trip file; and completes expense reports after trip is complete
    • Other duties as assigned

    Experience, Skill, and Educational Requirements

    • 5 years of previous experience supporting an executive
    • experience in construction industry as well as construction accounting and job cost
    • Proficiency in MS Office Suite
    • Demonstrated analytical ability necessary to handle complex administrative details, such as preparing reports by combining confidential data from several sources, scheduling and planning work of others, and anticipating administrative needs of the Executive
    • Demonstrated project management/coordination experience
    • Ability to work well with all levels of management and employees; and both internal and external customers
    • Ability to prioritize tasks according to deadlines and urgency and complete them in a timely and professional manner
    • Interpersonal Skills—maintains confidentiality, remains open to others’ ideas and exhibits willingness to try new things
    • Oral communication—speaks clearly and persuasively in positive or negative situations, demonstrates group presentation skills and conducts meetings
    • Written Communication—edits work for spelling and grammar, presents numerical data effectively and is able to read and interpret written information
    • Quality control—demonstrates accuracy and thoroughness and monitors own work to ensure quality
    • Adaptability—adapts to changes in the work environment, manages competing demands and is able to deal with frequent change, delays or unexpected events
    • Dependability—consistently at work and on time, follows instructions, responds to management direction and solicits feedback to improve performance
